Roundtable Guidelines

All individuals making a scientific session (including poster presentations) must become individual members of APHA and must register for the Annual Meeting in order to present their papers. Become a member and register for the meeting via the online or print version of the Annual Meeting Registration Form.


A roundtable session is literally a collection of round tables. One presenter is assigned to each roundtable. Presenters have an opportunity to give an in depth half hour presentation (generally you will have an opportunity to present your paper 2-3 times, to different audiences, during the 1 1/2 hour session). An audience gathers around each table, presenters will give their papers simultaneously (each presentation should last about 15-20 minutes) and then open the presentation up to questions and discussion. After the discussion comes to a close, the attendees will leave your table and move to a different presenter's table. You need to check with your presider/moderator regarding the expectations for your session. No audio-visual equipment is provided for roundtable sessions.

A Roundtable format provides a great opportunity for a less formal, but more in depth exchange of information. If you want attendees to follow your presentation graphically, you are encouraged to create handouts in PowerPoint and prepare copies for distribution at your session (You should bring at least 25 copies). Also, bring a supply of business cards to share with attendees.

For those people interested in your data, you may consider distributing copies of your handouts on request or take advantage of the ability to upload your handouts to the Online Program, so that they become a permanent part of your abstract.

Uploading Handouts
Presenters can upload their handouts or papers after the annual meeting so that they will be a permanent part of the Online Program, visible to everyone. The handouts will be available by hyperlink from the Online Abstracts. Because this service requires much more storage and bandwidth there is a nominal $10 charge--the fee is paid on line using a credit card and a secure payment page. A link will be posted to upload your handouts after the annual meeting.

Session Presiders/Moderators
The meeting should be called to order on schedule. It is recommended that moderators for roundtable sessions begin the session by introducing the speakers and topics to be discussed at each table and inviting the audience to gather around the table of interest to them. After about 40 minutes, it is suggested that the moderator indicate that the session is half over, re-introduce the speakers (and topics) at each table and invite the audience to move to another table for the second half of the session.

Room Monitors
APHA hires room monitors who are responsible for double-checking the room set up prior to the starting time of your session. They will also take an official count of the attendance at the meeting and check that attendees have appropriate name badges. Because the monitors are assigned to several sessions at the same time, they are not able to remain in the room throughout the session.
